US National Archives and Records Administration is Hiring a Secretary (Office Automation) Near Lake, MO

Duties

The following are the duties of this position at the GS-05. If you are selected at a lower grade level, you will have the opportunity to learn to perform all these duties, and will receive training to help you grow in this position.
As a Secretary (Office Automation), you will:

  • Receive visitors and phone calls to the office, ascertaining the nature of requests and directing callers to appropriate person/area, or personally provide the information desired when routine or procedural matters of the office are involved.
  • Maintain, accession and dispose of required organization files. Update Task Employee Master File and other records when changes in grade/step, position, salary, etc. occur.
  • Prepare and submit time and attendance sheets and related documents.
  • Use initiative and judgment in determining when a deviation from established policy may be warranted to prevent undue delay, inconvenience, or hardship to the requester; bring such cases to the attention of the Manager and/or Assistant Manager for approval.
  • Receive incoming correspondence, screening material prior to distribution for suspense dates, establishing controls, and following up for Manager. Upon completion of necessary action/distribution, file correspondence and reports in files, which are maintained according to file plan.

Qualifications

You must meet the following requirements by the closing date of this announcement.
SPECIALIZED EXPERIENCE: For the GS-05 is defined as one year of experience at the GS-04 level, or equivalent, that is directly related to the position and which has equipped the candidate with the particular knowledge, skills, and abilities to successfully perform the duties of the position. Specialized experience includes:

  • Preparing correspondence using correct grammar and punctuation, AND
  • Communicating with internal and external customers to provide information. Examples of this may include:
    • Creating documents reflecting meeting notes; OR
    • Answering and directing calls to different departments; OR
    • Preparing reports for management review.

OR
You may substitute education for specialized experience as follows: 4 years above high school.
OR
You may qualify by a combination of experience and education.
GENERAL EXPERIENCE: For the GS-04, you must have one year of general experience which includes progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled.
OR
2 years of education above high school.
OR
You may qualify with a combination of experience and education.
